General FAQ's

A user is a person that has been registered for an event by the host. 1 email registered = 1 user. A registered email/user is considered an event attendee and will be charged, even if the user doesn’t onboard for the event.

A credit equals a user (1 email registered on the platform). A credit / user is considered an event attendee and will be charged, even if the user doesn’t onboard for the event.

An organizer seat equals our “host” role on the platform. These are the roles with the full set of permissions that will be able to fully control the platform back office. Other roles on the platform, such as moderators, VIPs, speakers, sponsors, participants, and view only are all considered regular users for invoicing purposes.

Yes, you can try all the SCOOCS features for free with events with up to 5 participants. Send an email to hello@scoocs.co to request your access.

Yes, you can purchase an add-on to access our public API and connect all your event technology stack.

Per Event Pricing FAQ – One-off Events

You can choose the “Per event” event management software pricing that suits you the best, or talk to us if you need additional services and you want to request an offer.

Our “Per Event” software pricing starts at 500 users. However, if you are planning to host a series of smaller events, you can go for our annual plan, where you have 1 year to host as many events as you wish, up to the number of attendees purchased.

Once you click on the “buy now” button, you will be redirected to the payment gateway on the SCOOCS platform. When the payment is completed, you will have immediate access to your platform, and you can start to set up your event right away. If you need add-ons or more than 20.000 credits, talk to us! We will send you a quote, and once you accept it, we can give you access to your platform in a 48h timeframe.

Yes, once you have purchased your license or accepted our offer, you will be able to do a test with up to 5 users.

Your license will be active for a month from the purchase day, and you will be able to onboard the users right after the purchase. However, you will only be able to launch your session on your event days. Please take into consideration that we will ask for your event days on the purchasing form, to buy server capacity for your event. If you try to launch sessions before the informed dates, we can only guarantee server stability on the dates of the event.

Yes, you can buy extra users directly on your platform at any time on the Starter and Professional plans. For the Enterprise plan, please reach out to your account manager or support@scoocs.co.

Please note that once you have confirmed an event with us it means that we have reserved capacity in our servers exclusively for you. If your event is canceled less than 30 days before it is scheduled to take place, you will be subject to a charge of a percentage of the event’s license fee (number of users, plus add-ons if applicable) as follows: 

  • Less than 30 days before the scheduled date: 50 % of the event’s license fee.
  • Less than 15 days before the scheduled date: 75 % of the event’s license fee.
  • Less than 24 hours before the scheduled date: 100 % of the event’s license fee.

Postponement Policy:

In case, your event’s date is postponed, you will be subject to a charge of a percentage of the event’s license fee (participants, plus add-ons if applicable) as follows:

More than 7 days before the event starts: no charge.

  • Less than 7 days before the event starts: 25 % of the event’s license fee.
  • Less than 24 hours before the event starts: 50 % of the event’s license fee.

According to our cancellation policy, we can’t refund unused credits after the event, since we have already purchased server capacity for those users.

Yearly Event Management Software Pricing FAQ

There is no limit: you can host as many events as you wish, up to the number of attendees you have purchased.

The validity time for the credits is the same for the platform: 1 year from the purchase date.

Yes, each time you decide to host an event, please send an email to your account manager or support@scoocs.co.

Please inform us ASAP so we can prepare the right server capacity for your event.

Yes, if you renew your annual subscription the validity of your remaining credits will renew as well, and they will be valid on the new subscription.

According to our cancellation policy, if there was no event on your platform in the last 30 days, you can have a 100% refund.

Yes, you can buy extra users directly on your platform at any time on the Starter and Professional plans. For the Enterprise plan, please reach out to your account manager or support@scoocs.co.

Please send us an email to support@scoocs.co, so we can buy extra server capacity for the new dates. Extra charges may be applied in this case. We will not proceed with refunds for the starter and professional packages. For the enterprise pricing, please note our cancellation and postponement policies:

Yes, users can always go back to an event they were invited to until you close your platform.

After the legal period to cancel your contract and to claim an integral refund (14 calendar days), you can only have the refund of 80% of the remaining paid months.

If you had events in the last 30 days, we also apply the conditions on the cancellation policy.

Starter Package - Event Management Software Pricing FAQ

Our Starter Package was built having in mind all the services needed by event hosts. For that reason, we don’t have a price for each one of the features, and it’s not possible to downsize our packages. Book a meeting with our team to have some help on how to take the most out of all the SCOOCS features.

The event extension add-on is only available on the Professional and Enterprise packages.

The Starter Package includes a platform handover call with our team, general support availability, and support on the event day. In the platform handover call, our team will show you your event platform back office in detail and will be available to answer all of your questions. During the event, you can count on our team for an immediate and urgent answer if needed, and we will also be available to answer your questions via email before and after the event. Please note that this support is provided directly to the event hosts. If you would like to have a member of our team available to answer your participants’ questions, you can purchase the remote concierge add-on on the Professional or Enterprise packages.

Professional Package - Event Management Software Pricing FAQ

Our Professional package was built having in mind all the services needed by event hosts for bigger events. For that reason, we don’t have a price for each one of the features, and it’s not possible to downsize our packages. Book a meeting with our team to have some help on how to take the most out of all the SCOOCS features.

Yes, it is possible to purchase an event extension add-on for your Professional package.

Yes, the event app is included in the Professional Package. You can choose to use the SCOOCS branded app automatically included or to purchase an add-on for a white-label event app that fully showcases your brand.

The Dedicated Account Manager is one of the SCOOCS team members that will be in charge of your event. This person will be available to answer your questions via email, phone, or video call. It’s also included 5 hours of meetings to follow up on your event project and guide you by hand through the event platform.
